Booking Rules
Before making a booking, please read the information below. These guidelines explain how the booking system works, important deadlines, and the rules that apply to member and non-member bookings.

All bookings must be made through the online booking system.
Bookings are only confirmed once payment has been completed through PayPal.
If payment is not completed, your booking will remain unconfirmed and availability will not be updated.

Friday and Saturday nights are treated as a Weekend Booking.
If you wish to book either Friday or Saturday night in advance, you must book both nights.
After 8.00pm on Friday, Saturday night may be booked as a one-night stay, subject to availability.

Senior members may sponsor up to five non-member guests.
Members have priority for weekend bookings until 6.30pm on the Monday before the intended weekend.
Please do not make member bookings between 6.30pm and midnight on Monday, unless instructed by the Booking Officer. This allows time for approved non-member bookings to be processed.

Children under 4 years of age (members) and under 5 years of age (non-members) are only permitted to stay at the lodge during designated Family Weeks.

Bookings can be modified up to two days before your stay, including moving them to another date or the following season.
Cancellations must be made before 7.30pm, two days before the first night of your booking.
For weekend bookings, this means 7.30pm on Wednesday.
PayPal booking fees are non-refundable.

During the ski season, the lodge operates on a day lock. Your access code will be included in your booking confirmation email.
Step-by-step Booking Guide
Follow the steps below to make and manage your booking. If you're booking non-member guests, please refer to the Non-member Guests section below for additional requirements.

Click the Book Now button at the top of the page.
Log in using the username and password provided once your membership subscription has been paid. This will take you to the Arlberg reservation page.

Enter your booking requirements into the booking form.
Click Calculate to display the total cost of your stay.
Click Book Now to submit your booking.
Complete your payment through PayPal to confirm your booking.
Important:
Your booking is not confirmed until payment has been completed.Please do not make bookings between 6.30pm and midnight on Monday, unless instructed to do so by the Booking Officer. This allows time for approved non-member bookings to be processed.

Please complete every field accurately.
Bunks Total: Enter the total number of people included in your booking. This number is used to allocate bunks.
Children: Enter the number of guests under 13 years of age.
Non-member: Tick this box if your booking includes approved non-member guests.
Estimated Arrival Time: Helps with meal planning.
Names: Enter the names of everyone in your booking and include the ages of children under 13 (e.g. Sam Skier (8)). This information is used for the lodge list and safety purposes.
Dietary Requirements: Include any dietary requirements or preferences.

Use My Reservation with your booking number to view, change or cancel your booking.
Bookings can be modified up to two days before arrival.
Bookings can be moved to another date or even the following season.
We recommend making separate bookings for each stay. This provides greater flexibility, as bookings that include multiple stays can't be modified once the first stay has passed.
Booking fees are non-refundable because PayPal does not refund these charges.
Refunds are processed manually and are generally completed within a week, provided the correct refund request email has been submitted.

You can make multiple bookings during one session. However, once the first booking date has passed, later bookings on the same booking reference can no longer be modified. For greater flexibility, we recommend making separate bookings.
If payment isn't completed through PayPal, your booking will remain unconfirmed and won't appear in the availability table. Simply make the booking again and complete payment.
After changing or cancelling a booking, you should receive a confirmation email almost immediately. If you don't receive one, check your booking and try again. If you're still having trouble, contact the Booking Officer.

Guest Bookings
If you're requesting approval for a weekend guest booking, follow the steps below.

Send an email to bookings@arlberg.co.nz.
Copy the subject line below exactly, replacing only the dates, number of guests, and ALL or SOME with your own details. This ensures your request is recognised and processed correctly.
Subject: GUEST BOOKING - 9/8/26 to 11/8/26 - 3 Guests - ALL
ALL – Only confirm the booking if all requested guest beds are available.
SOME – Confirm the booking even if only some of the requested guest beds are available.

You'll be contacted after 6.30pm on the Monday before your intended stay to confirm whether your request has been approved.
Complete a Guest Booking
Once your guest booking has been approved, complete the booking through the online booking system as soon as possible.

Log in to the Arlberg booking system using your member username and password.

Select Guest when completing the booking. (If the booking system still uses Non-member, select Non-member.)
Enter the names of all guests.
Complete all required booking details.
Click Calculate to confirm the booking total.
Click Book Now and complete payment through PayPal.
Important: Your guest booking is not confirmed until payment has been completed.

For out-of-season bookings, select Off Season instead of Guest, as a flat accommodation rate applies during this period.
Refund Requests
Once you've cancelled or amended your booking through the online booking system, copy and use the template below to request your refund.

Providing this information allows refunds to be processed much more quickly.
Refunds are generally processed within a week, provided the required information has been supplied.
